Booking Hotels in China as a Foreigner: Check-In and Registration Guide (2026)
Booking a hotel in China is straightforward when the property is prepared to check in an international traveler. The important details are not star ratings or lobby size: confirm the exact branch, make sure the reservation matches your passport, and understand who completes the legally required accommodation registration.
This guide separates hotel check-in from private-home registration and reflects the National Immigration Administration rules current on 1 August 2026.

Can hotels in China accept foreign guests?
Chinese authorities have stated that accommodation businesses must not refuse foreign guests by claiming they lack a special “foreign-related qualification.” A 2024 government circular also directed booking platforms not to restrict properties from receiving overseas travelers on that basis.
That does not mean every listing is operationally ready. A small property may still have inexperienced staff, a closed reception desk or a booking-system mismatch. Confirmation before arrival remains sensible, especially in smaller cities and for late-night check-in.

How to choose a hotel that will check you in smoothly
Use a platform that shows the property’s full name, address, cancellation terms and recent guest feedback. Search reviews for practical phrases such as “passport,” “foreigner,” “international guest” and “late check-in,” but treat old reviews as clues rather than current policy.
Before paying for a non-refundable room, contact the exact branch and ask:
- Can you check in a guest using a foreign passport?
- Is the front desk open at the expected arrival time?
- Will the hotel complete accommodation registration?
- Does the room type allow the number of adults and children in the booking?
- Is a deposit required, and which payment methods are accepted?
Save the answer in the booking platform’s message system where possible. A generic answer from a chain’s central hotline may not reflect the branch you booked.
Book under the passport name
Enter the lead guest’s name as it appears in the passport. Platforms handle name order differently, so follow the field labels rather than forcing a Western first-name/last-name pattern. Avoid nicknames and initials unless they appear in the travel document.
Bring the passport used for the reservation. Hotels generally need to inspect the original document; a photo is a useful backup but may not be sufficient for check-in. If a child has a separate passport, include the child in the reservation and carry that document too.
Check the exact hotel branch and location
Chinese hotel names can look almost identical in English, and one brand may operate several branches near the same airport, station or attraction. Compare the Chinese name, street address and telephone number—not only the translated title.
Save a screenshot of the property page and the address in Chinese. Send it to a driver or paste it into your map app. Before booking an early train, verify travel time to the exact station; “Shanghai Railway Station” and “Shanghai Hongqiao Railway Station,” for example, are not interchangeable.

What happens during hotel check-in?
At the front desk, present the valid passport or other accepted international travel document for each guest. The hotel records the accommodation details and submits the required information to the local public security authority. When you stay in a hotel, this is normally handled by the hotel; you do not separately visit a police station for that hotel stay.

The receptionist may ask for a phone number, local contact details, arrival information or a refundable deposit. Procedures vary by property. Keep the booking confirmation accessible offline in case roaming or Wi-Fi is not working.
What is accommodation registration?
Article 39 of China’s Exit and Entry Administration Law distinguishes hotels from other residences. Hotels register foreign guests and submit their information to the public security authority. For a stay somewhere other than a hotel, the foreign guest or host must normally complete registration within 24 hours after arrival.
Accommodation registration is separate from immigration entry, a visa, a residence permit and the arrival card. Completing one does not replace the others.

Staying with friends, family or in a private residence
If you stay in a private home, apartment or another non-hotel residence, agree with the host in advance who will register the stay. The official process may require the passport and information establishing the address, such as a lease or proof of ownership. Requirements and local service channels can differ.
When you move to a different private residence, check whether a new registration is required. Do not assume that a registration from a hotel or earlier address covers the rest of the trip.
Online registration pilot introduced in 2026
From 20 March 2026, the NIA began piloting online accommodation registration for non-hotel stays in Hebei, Liaoning, Zhejiang, Hubei, Guangxi, Chongqing and Sichuan. The official channels include the NIA Government Service Platform, the NIA 12367 app, the NIA 12367 WeChat mini program and the Alipay mini program.
Online registration has the same legal effect as registration completed in person. The program was announced as a pilot that would expand gradually, so do not assume the online module is available everywhere. Where it is unavailable, use the local public-security office or another official local channel.
What about serviced apartments and short-term rentals?
The name used in an app does not determine the legal process. Some serviced apartments operate like hotels and register guests at reception; other apartments are treated as non-hotel residences. Ask the host explicitly who submits the accommodation registration and how you will obtain confirmation.
A self-check-in lock code is not evidence that registration has been completed. If the host gives a vague answer or says registration is unnecessary, resolve the issue before arrival or choose a property with a clear procedure.
Late arrival and overnight connections
If your flight or train arrives after midnight, confirm that the front desk is staffed and that your reservation will not be marked as a no-show. Give the hotel the arrival number and an estimated check-in time. Keep the hotel’s Chinese phone number for a driver or airport information desk.

For a very short airport connection, check whether you will pass immigration before booking an airside or landside hotel. A landside room may require permission to enter China even when the connection itself is international.
Deposits, cards and mobile payment
Payment practice varies. A platform may charge the room in advance while the hotel still requests a deposit. Confirm whether the deposit can be paid and refunded to an international card, through a mobile wallet or in cash. Keep the receipt until checkout.

If the front desk refuses check-in
- Stay calm and ask for the specific reason.
- Show the confirmed booking and passport name.
- Ask the staff to contact a manager or the local public-security authority for guidance.
- Use the booking platform’s support channel and record the case number.
- If the issue cannot be resolved quickly, arrange a refundable alternative rather than remaining stranded.
